Job Role – Standards and Projects Administrator

Company profile:

The British Fluid Power Association was established in 1959 and represents over 240 British companies in the Fluid Power industry. One of the main aims of the Association is to create, raise and maintain standards in the fluid power industry.  Our technical committees play a key role in framing worldwide best practice through the development of national, European and international standards.

Main Duties:

Reporting to the Managing Director, you will be responsible for the co-ordination of all aspects for technical and development committees, projects, and programmes primarily on a national setting.

Working alongside the British Standards Institutions (BSI) your key responsibilities include but not limited to:

  • Diary management of multiple committee meetings. This includes:
  • The co-ordination of meeting invite
  • Agenda preparation
  • Overseeing and administering of the meetings and committees
  • Taking and distributing meeting minutes to the respective technical committee members
  • Monitoring and follow up on outstanding actions
  • Tracking and monitoring multiple projects at any one time
  • Redrafting of industry specification documents in-line with domestic/international standards.
  • Preparing and delivering presentations from the committees to senior staff and the Board of Directors.
  • Delivering essential administrative support to the BFPA in various projects both continuous and scheduled.
  • Advising and supporting the UK input into international and European standardisation, taking an active role in international meetings as appropriate
  • Arranging and hosting meetings, both in person and online to a range of business on both a domestic and international level.

Other Duties

  • Utilising IT software to an advanced level. Experience in Excel, PowerPoint and Word
  • Ability to adapt to using bespoke online software for document storage, meeting arrangements and project databases.
  • Producing and amending documentation in a variety of formats and deliverable within pre-agreed satisfactory timescales.
  • Understanding of organisational structures, business operations & processes
  • Project management on projects of various degrees of size.
  • Facility and contractor management
  • Office procurement – stationery, services and contracts
  • Building, maintaining, and developing committee and related industry knowledge and relationships

You will need to:

  • Have strong organisational, planning and prioritising skills
  • Work without direct supervision, manage own workload and have strong time management skills.
  • Be self-motivated, able to develop own skills and build knowledge base
  • Have a high proficiency in verbal and written English, ability to communicate complex terms concisely
  • Work with a diverse range of people, departments & organisations
  • Present regular written reports to senior staff members and the Board of Directors, with the ability to articulate all content in a concise, clear approach
  • Act with professional integrity and enhanced confidentiality at all times
  • Have experience in meeting management including agenda and formal minute taking and creation

Desirable:

  • Awareness of trade association processes and structures
  • Experience interpreting standards documents
  • Previous experience editing formal documents
